Contract Women for Women Program Administrator

Position Summary:

The Community Foundation of Western North Carolina is seeking professional, talented, committed, and experienced assistance to support the Women for Women (WFW) giving circle.  The work will be carried out by one independent contractor in conjunction with other CFWNC staff to deliver the highest quality membership and grants support. The WFW Program Administrator is responsible for supporting the membership and grant programs for WFW, a women’s giving circle comprised of 250 members that annually grants over $300,000 to WNC nonprofits.

This is a part-time, contract position for 900 – 1000 hours annually with weekly hours ranging from 15 – 35 based on seasonal and programmatic workflow.

The contract position is primarily remote; however, some in-person meetings and events will be necessary. CFWNC provides office space that the contractor may use as needed. The successful candidate will reside in or relocate to Western North Carolina.

 

Contract services to be provided:

The WFW Program Administrator provides administrative support to WFW for general membership management. The contractor will report to the CFWNC Chief Operating Officer and serve as the liaison for as the liaison to the CFWNC staff, WFW membership and WFW nonprofit applicants. The WFW Program Administrator manages the Grant Committee process, online proposals and membership voting. The WFW Program Administrator facilitates the planning and execution of all WFW communications and events.   nonprofit correspondence. This role also includes serving as the interface to the WFW Treasurer for budget reporting.

Grants Program Support

  • Approximately 40% of time (may be 50%+ in during September – April grant cycle)
  • Maintain current and accurate Grants Committee files
  • Maintain current information on CFWNC online system (Foundant)
  • Handle all communications with nonprofits
  • Verify eligibility of all proposal submissions
  • Facilitate the grant selection process, including Grants Committee meetings and membership grants voting, in coordination with CFWNC and Grants Committee leadership
  • Provide final vote tallies; notify grantees; notify WFW members; submit grant outcome data for CFWNC approval
  • Process interim and end of grant reporting in the CFWNC online tool, Foundant
  • Work with CFWNC to ensure timely disbursement of WFW grant funds
  • As needed, review and process grant extensions and budget revisions

Events, Membership Recruitment/Management, and Engagement

  • Approximately 40% of time
  • Support all events, including managing registration and logistics
  • Ensure timely communication with membership about key information and events, including a periodic E-News communication
  • Oversee social media management, including potential oversight of WFW’s Marketing Contractor
  • Membership accounting and billing
  • New member and renewal correspondence
  • Interface with CFWNC staff regarding process questions and changes
  • Maintain membership roster and database

Committee and Leadership Support

  • Approximately 20% of time
  • Schedule and participate in bi-weekly WFW leadership team meetings and monthly meetings with CFWNC and all WFW committees (Steering Committee, Grants Committee, Membership & Communications Committee, Advocacy & Education Committee)
  • Ensure all committee members complete required forms and orientation processes
  • Participate in WFW planning and process meetings as appropriate

Skills, Education, and Experience

Organizational and Management Skills

  • Must have strong project management skills, with the ability to manage multiple projects and follow through from concept to implementation with excellent attention to all details.
  • Must be highly-organized, self-directed, and motivated.

Communications Skills

  • Excellent written and verbal skills.
  • Good listener, with the ability to maintain confidentiality

Computer Skills

  • Proficiency with Microsoft Office Suite including Word, Excel, PowerPoint, Google Docs and Zoom.
  • Experience with Databases

Education and Experience

  • Bachelor’s degree.
  • 2-3 years of experience as a program/office administrator or similar position.
  • Nonprofit experience preferred.

Compensation:

Contract fee will be commensurate with experience and services provided. Anticipated hourly rate will be approximately $28 - $32 per hour. Services will be provided on a part-time, independent contractor basis without benefits.
