Summary

The North Carolina Aquarium Society is seeking applicants for the position of Finance Manager.

The Aquarium Society is a 501c3 nonprofit, based in Raleigh, N.C., that serves as the support organization for North Carolina’s three aquariums on the coast (Fort Fisher, Pine Knoll Shores, and Roanoke Island) as well as Jennette’s Pier in Nags Head, N.C. This is not a position with the State of North Carolina.

The Finance Associate reports to the Chief Financial Officer. The Finance Manager performs financial record keeping, which may involve accounts payable or accounts receivable accounts, in addition to several cash handling responsibilities.

Essential Duties and Responsibilities:
• Maintain the general ledger and accounting system for the Society.
• Organizes and maintains up-to-date financial records.
• Facilitates month-end and annual end-of-year close and reporting
• Review and post any adjusting journal entries in Sage Intacct (accounting system).
• Prepare bank account reconciliations for review by the CFO.
• Review general ledger activity to ensure all fixed asset additions have been properly recorded as well as prepare fixed asset schedule and depreciation calculation.
• Prepare reconciliations between subsidiary ledgers (Counterpoint) to general ledger for revenue accounts. Subsidiary ledgers provided by the departmental managers.
• Acts as financial liaison to North Carolina Aquariums to ensure the appropriate journal entries and transactions are reflected in their monthly departmental statements.
• Prepare investment reconciliations including monthly investment summaries.
• Review accounts payable invoices for payment prepared by Finance Coordinator.
• Review Society purchase orders to ensure accuracy and budgetary compliance.
• Review and approve corporate credit cards prepared by Finance Coordinator.
• Review sales tax remit calculation prepared by Finance Coordinator.
• Maintains accounts receivable and invoice documentation.
• Balances monthly cash receipts for each department to the general ledger.
• Prepares accounts receivable invoices for rent and concessions for review by the CFO. Prepares receivable calculation for Aquariums reimbursement to Society for membership, development, and special event revenue for review by the CFO.
• Prepare Aquarium Support Reports (both annual and program support). Reports provided to Aquarium Directors and Business Managers.
• Reconcile donor pledge schedule with development donor database pledge information.
• Prepare cost of goods calculation for inventory sold. Calculate gross profit margin for gift shops.
• Prepare all monthly budget to actual reports through Sage Intacct for Society department directors, CFO and President.
• Assists in preparation for the audit.
• Reads, uses, and is familiar with computer systems manuals and procedures; maintains and updates procedural manuals as necessary.

Required Experience/Qualifications:
• Bachelor’s in business management, accounting, or finance; or two to three years related experience and/or training; or equivalent combination of education and experience preferred.
• Must be articulate, assertive and have excellent communication skills.
• Demonstrated initiative and ability to perform duties with minimal supervision.
• Team player with the capacity to work independently and collaboratively in a fast-paced environment and across departments.
• Experience working closely with interdepartmental staff.
• Familiarity with and comfortable learning and managing database systems.
• Strong computer skills; Excel, Word, DocuSign, Adobe, and SharePoint experience desired, excellent database skills.
• Must possess a valid driver's license.
• Pass a criminal background check.
