SECU Family House at UNC Hospitals provides a safe, nurturing, affordable home for adult patients and their loved ones who travel great distances to UNC Hospitals for life-saving procedures and the treatment of serious illnesses.
Position Summary
The Part-time Special Events Coordinator will fill an integral role on our development team, coordinating SECU Family House’s fundraising activities and event planning and logistics under the direction of the Executive Director. This position will work closely with the members of the development team, including the Director of Strategic Initiatives, Senior Development Manager, and the Community Relations & Database Manager. This is a part-time position requiring flexibility to work some evening and weekend hours as needed for meetings and special events. The ideal candidate can balance a variety of responsibilities with skill and grace, enjoys working with a team and community building, and is enthusiastic and creative.
Responsibilities
Events Management
- Plans, coordinates, and promotes Family House special events (Family House Classic, Family House Gala, community building events, special one-time events, and regional events which may require travel)
- Works directly with event committees to implement successful events, encouraging delegation and optimal committee involvement, including all event logistics, vendor correspondence, and marketing activities
- Procures in-kind donations from businesses and individuals for auction items
- Meets regularly with Family House staff and volunteers as needed to maintain open lines of communication to ensure event objectives are achieved
- Maintains a high level of customer service by responding to inquiries, both internally and externally, in a knowledgeable and timely manner regarding Family House events
- Maintains up-to-date events records including sponsor lists, attendee lists, and logistics timeline
- Prepares budgets, maintains detailed records, and exercises responsible expense control for events with approval of the Executive Director
- Plans and coordinates follow-up contacts for events: calls, emails, further engagement and helps event committee collect outstanding pledges
- Recruits and manages day-of-event volunteers. Builds relationships with these volunteers and provides consistent communication to ensure volunteer retention.
- Maintains and tracks event material inventory
- Coordinates the publication of event specific marketing materials with FH marketing staff
Development Activities Coordination
- Supports development staff on creation and distribution of mailings, online appeals, and other communication as needed
- Creates and/or coordinates materials and packets of information for meetings and events
- Performs other duties as required to support Executive Director and the development team in goal-achievement
- Become proficient using the database to assist in the generation of mailing lists, donor reports and event lists
- Maintains Development Office marketing and communications materials, including development web pages, in conjunction with Family House Communications Manager and outside agencies if necessary
Qualifications
In addition to a strong commitment to the SECU Family House mission, this position requires
- Associates degree, bachelor's degree preferred
- Experience in detailed events management in a fast-paced environment, preferably in nonprofit fundraising
- Familiarity with and comfortable learning donor database systems. Raiser’s Edge, Bloomerang and Qgiv experience a plus
- Excellent computer skills including Microsoft Office Suite, Canva, Zoom
- Current knowledge of social media platforms and communications trends
- Capable of providing a high degree of customer service with discretion for confidential information
- Proven ability to operate with minimal oversight and direction and independently prioritize, organize and manage tasks and projects

- Availability to work on evenings and weekends as required to facilitate special events
- Physical demands for this position include sitting, standing, bending, walking, lifting and moving up to 20lbs.
- Hourly pay. The hiring pay rate for this position is $20 - $24 per hour, depending on qualifications and experience.
- Adaptable part-time schedule. This is a 20-hour per week position. The incumbent will establish a regular schedule of 4-5 hours per day, 4-5 days per week in the office or in the field.
