General Job Description

The Special Events & Development Associate will be a member of the Development Team focused on advancing the school’s community building and philanthropic work. This position requires a person who is self-motivated, detail-oriented, an effective communicator, energetic, and committed to the mission. General duties center around special event management and also include alumni outreach, gift processing, database management, and other constituent-related communications. The Special Events & Development Associate role is a part-time (24 hours a week), non-exempt position and reports to the Director of Philanthropy.  

 

Specific duties and responsibilities:

 

Special Event Management (75%)

  • Manage logistics, rentals, food, signs, vendors, and volunteers for school events, including Carnival, The Raleigh Cool, and Grandparents’ Day.
  • Responsible for: managing an event timeline, budget oversight, sponsor invoicing, event website, promotion, committee meetings, updating the school website, thank yous, and reporting.
  • Responsible for auction database entry, management of the auction website, sponsorship benefits fulfillment, and website content during the event duration.
  • Work with committees to fulfill fundraising goals and community objectives.

 

Gift Processing (10%)

  • Support Director of Philanthropy with the Fund for TRS.
  • Enter gifts in Raiser’s Edge and process thank you letters.
  • Coordinate phone/text-a-thon gatherings for TRS committee members.
  • Monitor and calculate class participation for the Fund for TRS.
  • Manage brick naming process.

 

Alumni Outreach (5%)

  • Create and edit content for alumni newsletters and alumni section on TRS website.
  • Assist in the planning, coordination and implementation of alumni events and communications.
  • Maintain and update database with alumni contact and school information. 

 

Database Management (5%)

  • Perform end-of-year actions within the database to maintain accurate records.
  • Run queries and exports to create mailing lists.
  • Monthly reconciliation with the business office for all campaigns.

 

Constituent Communications Support (5%)

  • Coordinate with the Director of Philanthropy on communications to constituents.
  • Provide general assistance to the Director of Philanthropy and participate in other development and school-wide activities as requested.
