Executive Assistant/Office Manager

The Executive Assistant / Office Manager provides high-level administrative support to the President & CEO and the executive leadership team (Deputy Director – State Support and Deputy Director – Regional Support). This role manages scheduling and logistics for leadership and statewide groups, coordinates board engagement, oversees office operations, and serves as a conduit for technology support. 

The Executive Assistant and Office Manager is a critical point of contact both internally and externally, ensuring organizational effectiveness, strong communication, and smooth day-to-day operations.

Executive Leadership Support (40%) 

  • Manage and coordinate calendars for the President & CEO and executive leadership team.
  • Prepare draft emails from CEO to key stakeholders.
  • Schedule and organize meetings for leadership, board of directors, board committees, and statewide partners.
  • Track and follow up on action items from leadership and statewide meetings.
  • Support preparation of agendas, materials, presentations, and minutes.
  • Coordinate and manage team special occasions and events.
  • Manage travel arrangements and logistics for the executive leadership team.
  • Manage expense reporting and receipts tracking.
  • Other duties as assigned.

Board Engagement (25%)

  • Coordinate board of directors’ meetings, retreats, and committee meetings, including scheduling, logistics, and materials.
  • Maintain board records and ensure timely distribution of agendas, minutes, and supporting documents.
  • Serve as liaison between board members and executive leadership.

Office Management & IT Coordination (20%)

  • Oversee office operations, supplies, and equipment to ensure a professional and efficient work environment.
  • Serve as the primary contact for IT needs, coordinating with the organization’s IT contractor (Insight) on technology issues, system updates, and troubleshooting
  • Support contract and vendor management for technology and related office services.

Events & Special Projects (15%) 

  • Plan and coordinate logistics for statewide convenings, webinars, and special events connected to myFutureNC’s work.
  • Provide administrative and communications support for cross-organizational projects as assigned.

Qualifications

  • Bachelor’s degree preferred; experience in executive administration or office management may substitute.
  • 5+ years of administrative or executive support experience.
  • Strong organizational and project management skills, with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills; strong relationship-building abilities.
  • Proficiency in Google Suite, Zoom, and related platforms.
  • Experience supporting or coordinating support for basic office technology - laptops, printers, etc.
  • Experience coordinating meetings and events, including board-level engagement with high-profile boards.

Hybrid: This position is based in Cary, NC and requires a minimum of 2 in-person office days per week. Exceptions may apply on an as-needed basis with advance notice provided. 40 hours per week.

Salary and Benefits

Salary Range: $45,000-$60,000 Salary commensurate with education and experience. Benefits competitive with public and private industry including but not limited to health and savings plans.
