Caring Community Foundation Administrative Assistant – Part-time (20 hours/week)

 

The Caring Community Foundation is a 501(c)(3) non-profit charitable organization that provides financial assistance to cancer patients treated in North Carolina.  We support basic financial needs by aiding with rent, utilities, transportation or other expenses that become difficult to manage during cancer treatment.  The organization was established in 2001 by a local breast cancer survivor who wanted to demonstrate her gratitude for the outpouring of community and family support she received during her own treatment.  The organization's "Pay-It-Forward" philosophy drives our mission and impacts everything we do. 

The CCF administrative assistant works with the Executive Director (ED) and the Board of Directors to ensure the successful operation of the organization.  Reporting directly to the ED, the administrative assistant will be responsible for supporting the Board-approved strategies and initiatives, managing shared documents (e.g., Google Drive), initiating social media posts, organizing Board meetings, tracking project progress, supporting fundraising events, and ensuring that patient grants are distributed effectively and accurately.  This is a “hands-on”, remote position that requires great attention to detail, high level of organization, significant interpersonal skills, and a passion for helping others

RESPONSIBILITIES

  • Organize Board meetings, developing meeting materials, documenting Board outcomes, and archiving all materials
  • Organize all shared drive files and folders and ensuring Board access to necessary information
  • In conjunction with the ED, write patient grant checks and cover letters and ensuring timely distribution to approved patients, as well as effective financial tracking
  • Interact with Board members, social workers, volunteers, and other contacts to answer questions, trouble-shoot issues, and provide solutions to challenges
  • Effectively manage all social media accounts, including log-ins, access, and other technical information.  Ability to post to Facebook, Instagram, LinkedIn and other social media platforms is required
  • Provide administrative support to all fundraising events as needed
  • Manage volunteer groups by tracking participation, executing engagement activities, and working closely with third party volunteer groups
  • Work closely with the ED to ensure all compliance rules and regulations for charitable organizations are followed
  • Support the ED and the Board with any and all other administrative efforts required in a small non-profit charitable organization

PROFESSIONAL QUALIFICATIONS

  • At least 5 years of effective experience as an administrative assistant in a non-profit, small business, or corporate environment
  • Well-organized with great attention to detail
  • Proven interpersonal skills
  • Ability to work on multiple projects and take direction from others 
  • Ability to manage time effectively 
  • Effective computer skills to include working knowledge of Word, PowerPoint, Excel
  • Ability to initiate and execute social media posts, donor group emails, mailings, and other means of communication
  • Working knowledge of SalesForce.com or other nonprofit CRMs or donor database systems is highly desired
  • Familiarity with developing and following standard operating procedures
  • Must have at least an Associates’ Degree in a relevant discipline
Salary and Benefits

This is a part-time (average 20 hours per week) position with no benefits.  Wage is hourly and based on experience.

Work is typically done remotely from home, but some in person meetings will be necessary.
