Primary Responsibilities   

The AR/AP Specialist is responsible for processing invoices, entering accounts payable and accounts receivables accurately and timely, and maintaining complete and clear records of financial activities.  This position will also support the Finance & Administrative section with all aspects of the organization's operational activities on a day-to-day basis. 

Specific Responsibilities                                                                                                                                     

  Fiscal

  • Enter and process electronic transactions in BILL and Quick Books Online and update financial spreadsheets including but not limited to credit card receipts, FSA transactions, and donor related transactions. Record and process vendor invoices.
  • Review all invoices for appropriate documentation and approval prior to payment.
  • Match invoices to checks, obtain all signatures for checks and distribute checks accordingly as needed. Maintain vendor files and support documentation.
  • Process reimbursement requests in accordance with Travel Policy and other Financial Policies and procedures. 
  • Provide back up to the Senior Accounting staff in preparing and maintaining all accounting records and files, using BILL and Quick Books Online with appropriate hard or electronic copy support, in accordance with Generally Accepted Accounting Principles.
  • Record all cash receipts received electronically and deposit checks by mail according to the organization's financial policies and procedures. Maintain AR paper deposit files and supporting documentation
  • Monitor aging AR monthly and follow up on overdue receivables
  • Monitor CRM transactions monthly to ensure they mirror/match Quick Books Online. 
  • Prepare invoices for Training, Fee for Service, Online Store orders etc.
  • Assist with preparing required tax and license reports and payments in a timely manner. These reports include but are not limited to quarterly sales tax payments, semi-annual sales tax refunds, annual charitable solicitation license application (supporting Grants Coordinator), and Wake County property tax filing.
  • Work with the Senior Accounting Staff and VP of Finance & Administration to prepare for the organization's audits and provide complete and accurate information for timely and proper execution of the audits. 
  • Maintains confidentiality of the organization’s information and records.
  • Assist with special projects and perform other duties as assigned. 

 Job Qualifications                                                                                                                                     

  • Bachelor’s degree in accounting or business administration or equivalent experience. 
  • Two or more years of experience in accounting activities preferably related to nonprofit financial administration.
  • Excellent attention to detail.
  • Working knowledge of GAAP rules and regulations.
  • Excellent organizational, planning, and problem-solving skills.
  • Good verbal and written communication skills.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills and/or ability required.

  • Proficient in either QuickBooks Online or Quick Books Online (preferably both), BILL, Spend & Expense, and Microsoft Office including but not limited to Excel and Word.
  • Ability to accurately process accounts payable and accounts receivable transactions 
  • Have prior experience in Nonprofit accounting. 
  • Self-motivated with the ability to prioritize work in order to successfully complete multiple tasks within expected time frames.
  • Highly collaborative, flexible, and adaptable style with experience working in a fast-paced, sophisticated, and complex team environment.
  • High sense of professionalism and sound judgment.
  • This is hybrid position, including both on-site and remote work.
