Reconsidered Goods (RG) is a nonprofit creative reuse center and retail store dedicated to keeping usable materials out of the landfill and into the hands of artists, educators, makers, and our broader community. We operate in a dynamic, high-volume environment and rely on accurate financial systems to support our mission and growth.
We are seeking a detail-oriented, experienced Contract Bookkeeper to support our financial operations, maintain strong internal controls, and ensure timely, accurate reporting.
Position Overview
The Contract Bookkeeper is responsible for day-to-day financial tasks including processing purchasing orders, payroll coordination, QuickBooks management, maintaining digital financial records, and preparing documents needed for grants, audits, taxes, and registrations. This contractor will work closely with the Executive Director, managers, and our external CPA.
Key Responsibilities
Purchasing & Payables
- Process and track purchasing orders for staff and managers
- Enter and categorize expenses in QuickBooks Online
- Maintain vendor files, W-9s, and payment schedules
- Ensure all expenses have proper receipts, documentation, and backup
Payroll Coordination
- Enter payroll data into our payroll system (currently Paychex Flex)
- Coordinate with managers each pay period to confirm hours, PTO, corrections, and approvals
- Ensure payroll is submitted accurately and on time
- Maintain payroll-related digital records and backup
Financial Recordkeeping & Reporting
- Reconcile bank accounts, credit cards, PayPal, Square, and petty cash monthly
- Maintain organized digital financial files (receipts, statements, contracts, grant docs)
- Update and monitor grant budgets, restricted funds, and expense tracking
- Prepare monthly financial snapshots for the Executive Director
- Support the Finance Committee by preparing needed reports
Compliance & External Coordination
- Coordinate with our CPA for quarterly and annual tax filings
- Compile documents for Form 990 preparation
- Renew annual nonprofit registrations (Secretary of State, Charitable Solicitation license, etc.)
- Prepare financial documentation required for grant reports and applications
- Track and maintain insurance renewals as needed (liability, D&O, etc.)
Internal Controls & Process Improvement
- Maintain consistent bookkeeping procedures and documentation standards
- Recommend improvements to RG’s financial workflows, recordkeeping, and filing systems
- Support preparation for annual audits or financial reviews
Qualifications
- 3+ years bookkeeping experience (nonprofit experience strongly preferred)
- Strong proficiency with QuickBooks Online
- Experience with payroll systems (Paychex, ADP, or similar)
- Comfort with digital document management (Google Drive preferred)
- Ability to read and interpret financial statements
- Strong organization, accuracy, and attention to detail
- Ability to work independently, maintain confidentiality, and meet deadlines
- Experience with retail or inventory-heavy environments a plus
Contract Details
- 6-8 hours/week, with flexibility based on deadlines
- Hybrid: Some onsite time preferred; remote work possible
- $20-$35/hour, depending on experience
- Reports to the Executive Director
- Contractor provides their own equipment/software unless otherwise arranged
- Contract is renewable annually, with potential for expanded scope as the organization grows
