As Carolina Crown continues to grow, we are seeking an organized, collaborative, and highly capable professional to join our team as Director of Business Operations.
About the Position
The Director of Business Operations will oversee the financial, human resources, and administrative systems that support Carolina Crown's programs and operations.
Reporting directly to the CEO, this position serves as an important member of the organization's administrative leadership team and works closely with staff, outside accounting and HR professionals, vendors, and the Board of Directors.
This is an ideal position for a business professional who enjoys variety and wants to have a meaningful impact on a growing nonprofit organization. The successful candidate will bring strong organizational skills, financial competence, sound judgment, and the ability to build effective systems and processes.
This position is not intended to serve as Carolina Crown's CFO or senior accounting professional. Rather, the Director will ensure that the organization's financial and administrative systems are accurate, timely, organized, and functioning effectively.
What You'll Do
Financial Operations
- Coordinate annual budgeting and ongoing budget monitoring.
- Monitor cash flow and identify financial trends or concerns.
- Oversee routine accounts payable, accounts receivable, purchasing, reimbursements, credit cards, deposits, and related financial processes.
- Coordinate with outside accounting professionals on monthly and annual financial processes.
- Assist with financial reporting for the CEO, Finance Committee, and Board of Directors.
- Help strengthen internal financial controls and administrative procedures.
Payroll & Human Resources
- Coordinate bi-weekly payroll administration.
- Administer employee benefits, including health insurance and retirement programs.
- Serve as the primary internal liaison with payroll, benefits, insurance, and HR providers.
- Coordinate employee onboarding and offboarding.
- Maintain personnel records and HR documentation.
- Support recruitment and other employee-related administrative processes.
- Assist the CEO with employee relations and HR matters as appropriate.
Business & Organizational Operations
- Manage key administrative vendors and service providers.
- Maintain insurance, compliance, and organizational records.
- Coordinate administrative deadlines and recurring business processes.
- Support the administration of Carolina Crown's seasonal workforce, including contractor documentation and payments.
- Oversee CrownSTORE inventory, purchasing, and related business processes, supporting its growth as both a revenue-generating enterprise and a service to the marching arts community.
- Develop and improve procedures that make the organization more efficient and effective.
- Provide operational and administrative support to the CEO.
- Identify opportunities to improve efficiency, reduce unnecessary costs, and strengthen internal systems.
What We're Looking For
We are seeking a professional who is:
- Highly organized and exceptionally detail-oriented.
- Comfortable working with budgets, financial reports, payroll, and spreadsheets.
- Experienced with or capable of quickly learning accounting and HR systems.
- Trusted with confidential financial and personnel information.
- Able to manage multiple priorities and deadlines.
- A strong communicator who can work effectively with staff, leadership, vendors, and professional service providers.
- Comfortable taking initiative and solving problems without needing every step prescribed.
- Interested in working in a mission-driven nonprofit environment.
A bachelor's degree in accounting, finance, business administration, human resources, nonprofit management, or a related field is preferred, along with 3–5 years of relevant professional experience. Equivalent combinations of education and experience will be considered.
Experience with QuickBooks Online, payroll and benefits administration, nonprofit organizations, contractor administration, or a PEO/outsourced HR provider is strongly preferred.
Professional certifications such as SHRM-CP, PHR, CPP, or CPA are welcome but not required.
Work Environment & Travel
This position is based in person at the Carolina Crown, Inc. administrative headquarters in Pineville, North Carolina. Regular on-site presence is expected, and the position is not eligible for full-time remote work.
As a nationally recognized performing arts and educational organization, Carolina Crown hosts and participates in performances, educational camps, clinics, events, and other programs throughout the year. Occasional travel, as well as evening and weekend work, is therefore an expected part of the position.
All approved business travel and related expenses will be paid or reimbursed in accordance with Carolina Crown policies.
