Background
The Psychoanalytic Center of the Carolinas (PCC) is dedicated to advancing psychoanalytic thought and practice through education, clinical training, and community engagement. Building on a legacy that began in the 1950s, PCC today offers post-graduate training programs in psychoanalysis and psychoanalytic psychotherapy, continuing professional education for clinicians, and community initiatives that extend its impact through the Carolinas and beyond.
The Mission

Position Overview:
The Finance & Operations Manager reports to the Executive Director and oversees the organization's critical business functions, including financial management, payroll, vendor relations, membership administration, and human resources.
Primary Responsibilities:
Financial Management
- Manage all day-to-day accounting operations, including accounts payable/receivable, bank and credit card reconciliations, and general ledger maintenance
- Ensure accurate financial records in accordance with GAAP and nonprofit best practices
- Maintain compliance with nonprofit financial and tax reporting requirements, including IRS Form 990 and state charitable registration filings
- Develop and manage the organization's annual operating budget in collaboration with the Executive Director and the Board of Directors
- Partner with leadership to monitor and communicate financial health, risks, and opportunities to staff, Board, and stakeholders.
- Coordinate with staff and the Training and Education Committee to manage distribution of funds for scholarships, fellowships, and student grants
- Attend Finance committee meetings and support the Treasurer
Payroll, Benefits, & Human Resources
- Administer payroll processing, including wage changes, tax filings, and compliance with federal and state employment requirements
- Manage employee benefits administration (retirement, insurance, and other benefits)
- Maintain HR systems and records, including onboarding, offboarding, and personnel files
Operations and Administration
- Develop and implement effective and efficient financial policies, procedures, and internal controls
- Manage organizational insurance policies, including renewals, coverage reviews, and claims coordination
- Manage the organization’s technological needs through contracted providers
- Identify opportunities to strengthen efficiency and scalability as the PCC grows
- Manage back-end membership process, including annual renewal invoicing and listserv management
Qualifications and Competencies
The PCC is seeking a finance professional with a bachelor’s degree, or demonstrated equivalent of work and lived experience, with a minimum of four years of experience in nonprofit administration, with a history of successful budget management, bookkeeping, and/or HR administration.
Specific requirements include:
- Strong understanding of GAAP regulations for nonprofits
- Payroll experience (Intuit preferred)
- Demonstrated proficiency with QuickBooks and QuickBooks Workforce
- Experience using complex CRM or other association management software
- High integrity, accuracy, and confidentiality
- Excellent interpersonal and communication skills (both verbal and written)
- Demonstrated initiative and good judgment.
- Ability to work independently and collaboratively with a variety of constituents.
- Proficiency in Microsoft Office 365, Google Workplace, and Zoom video conferencing.
- Experience working in a small nonprofit or social services organization is a plus.
- Interest and passion for community-based programs, mental health, and/or psychoanalysis, and nonprofit work preferred.

While performing the duties of this job, the employee:
- Will frequently be required to sit in meetings for extended periods of time.

This is a part-time position (25 hours per week) with occasional nights and weekends in support of committees and events.
All PCC employees work remotely with the expectation that employees will travel within the Durham/Chapel Hill/Raleigh area for occasional programs, events, and bi-weekly staff meetings.
