Grants Accounting Specialist

Position Purpose 

Coordinate and execute documentation, reporting, and invoicing of high compliance grants, including federal, state, and local grants. This position requires working closely with a variety of staff members, vendors/subcontractors, and grantors to ensure both process and outcome are in compliance with grant requirements.   

Essential Functions

Coordinate Grant Reporting 

  • Support production of monthly, quarterly, annual and close-out reports for high compliance (mostly government funded) grants received by Habitat Charlotte Region. 
  • Coordinate processes for collecting data necessary to generate required reports. 
  • Complete the assembly and timely submittal of grant reimbursement requests, ensuring only eligible expenses are included, required documentation is complete and accurate, and reports are assembled per funder requirements.  
  • Ensure timely and accurate submittal of any other funder-required reports. 
  • Tracking the accomplishment of deliverables set forth in each contract.  
  • Assist in project specific grant assignments and submission of information to funders as needed. 

Coordinate Grant Invoicing 

  • Prepare invoicing for grant contracts on a timely basis. 
  • Coordinate processes for collecting necessary back-up for invoicing by working closely with applicable staff to ensure that invoices are correct, complete and tracked appropriately. 
  • Collect time tracking reports from program staff and prepare billing backup reports.  
  • Maintain up to date salary and benefits information for necessary program staff. 
  • Ensure that flow down requirements for subcontractors are being met. 
  • Collect data and support report completion for Section 3 and Davis Bacon .
  • Complete initial review of reports and reimbursement requests completed by Senior Grants Accounting Specialist. 
  • Prepare billing ledger for reimbursement requests to be completed by Senior Grants Accounting Specialist.  

Grant Compliance 

  • Maintain a current knowledge of grant contracts and compliance and, as needed, research and make recommendations on complex compliance requirements. 
  • Organize, file, and maintain copies of any documentation, reports, and invoices required for grant audits and monitoring visits. 
  • Coordinate the collection and maintenance of government grant-related information and documentation across departments. 
  • Develop and maintain accurate files (including electronic database records) and tracking methods for the following aspects of government grants: funder communications, awards, contracts, draw requests, reporting, compliance, and grant closeout. 
  • Ensure procurement of subcontractors is compliant with grant requirements, including but not limited to bid process, bid award, and subcontractor contract. 
  • Update program documents annually to ensure required language for grants. 

This role will provide support for the Organizational Advancement and Development team and other roles as assigned as time allows. 

Skills and Abilities 

  • Preferred experience with grant and contract reporting requirements 
  • Preferred experience with accounting/accounts payable
  • Strong attention to detail 
  • Ability to think critically
  • Proficient in Excel, Word, Power Point, Adobe Pro  
  • Strong Organizational Skills 
  • Good Communication Skills 

Work Environment

This position requires working primarily indoors in an office setting.

Physical Demands

  • Ability to use a computer for up to 8 hours in a day 

Estimated Time Commitment: 40 hours/week, Monday-Friday schedule. Approximate hours 8AM-5PM.
