Membership Coordinator Position Description
The Membership Coordinator is a full-time (40 hours/week) position with the Carolina Farm Stewardship Association (CFSA), based in CFSA’s Pittsboro, NC office. The Membership Coordinator works in concert with other staff to ensure CFSA member satisfaction, lead recruitment strategies, and manage retention and membership support services. The Membership Coordinator will also collaborate on public outreach and communication strategies towards growing our mission, strengthening our infrastructure, and increasing our membership base and support.
JOB SUMMARY:
The Membership Coordinator position is a full-time, salaried position reporting to the Development Director. You will work closely with the Finance, Administration, and HR Director. The Membership Coordinator will ensure membership satisfaction and identify needs; manage renewal and retention activities; create and implement recruitment strategies; and coordinate member communications that facilitate engagement, networking, and access to technical resources. The Membership Coordinator will assist in creating and implementing intra-team efforts to engage our members and the general public in CFSA’s agenda, grow our membership and support base, increase CFSA’s visibility and influence, and strengthen our infrastructure.
JOB RESPONSIBILITIES:
MEMBERSHIP AND DATABASE ADMINISTRATION
- Maintain accurate records in CFSA’s Salesforce database of members, supporters, and allied organizations.
- Support basic website management and maintain website membership content, job postings, and member updates as needed.
- Assist members in accessing online resources including CFSA’s listservs, job board, crowdfunding board, business discounts, eNews, event registrations, and joining or renewing.
- Administer CFSA’s regional listservs and other membership networking tools.
- Manage incoming questions from farmers and other members and provide timely responses.
- Generate and analyze membership reports to track demographics, recruitment trends, retention rates, and engagement metrics; translate information into actionable reports and outreach plans.
- Work with the Jr. Salesforce Administrator and the Communications team to manage and use the software necessary for membership operations, including Salesforce, Stripe, Form Assembly, and Dreamhost.
- Assist with annual online member meeting, including setup and verification of eligible voters.
OUTREACH AND COMMUNICATIONS
- Create and implement strategies to recruit new members and increase member retention and engagement.
- Serve as a primary relationship manager for members by providing responsive, high-quality customer service and support, and build these relationships through regular outreach, stewardship, and recognition efforts.
- Respond to inquiries and proactively connect members and the public to technical assistance, website and publication resources, marketing opportunities, educational events, program services, other staff, funding opportunities, member networks, allied organizations, etc.
- Prepare and email regular member communications covering updates, upcoming events, announcements, member highlights, educational content, special offers, and important reminders; and support Communications staff on publications such as CFSA’s monthly eNews.
- Manage online event registration systems and support the planning and promotion of annual conferences and events.
- Support organization-wide membership campaigns, including seasonal recruitment and fundraising initiatives.
- Gather member stories, testimonials, and impact narratives to strengthen outreach, fundraising, and communications efforts.
- Conduct member surveys and informal outreach to assess member satisfaction, engagement, and program impact in collaboration with other teams.
Seek opportunities to raise CFSA visibility, such as tabling, speaking engagements, or collaborative programming with allied organizations.
POSITION REQUIREMENTS:
- Strong commitment to the values embodied in CFSA’s mission and programs.
- Experience with CRM, AMS, CMS, or database management systems.
- Familiarity with digital communication and outreach tools such as Mailchimp, website content management systems (WordPress), Google Workspace/Microsoft Office, spreadsheets, and mail merge.
- Excellent customer service skills in person, on the phone, and through virtual media.
- Excellent interpersonal and collaborative skills; able to work well within a team, and with individuals, both internal and external.
- Excellent organizational skills. Demonstrated project management skills with strong attention to detail.
- Excellent written communication skills. Strong written and verbal communication skills with the ability to communicate effectively across diverse audiences.
- Experience with storytelling, member engagement campaigns, event coordination, or nonprofit outreach preferred.
- Ability to effectively handle multiple projects simultaneously, set priorities, and work comfortably in a fast-paced, deadline-driven environment.
Preferred Qualifications
- 2 or more years of experience in membership services, customer engagement, nonprofit administration, communications, or related work preferred.
- Experience with Salesforce experience strongly preferred.
- Experience in graphic design, copywriting, Adobe Creative Suite, and mapping tools.
