At The Center for Inquiry-Based Learning (CIBL), we believe students should interact with the world around them. Creating and supporting hands-on STEM classroom environments that allow students the opportunity to wonder, question, think, and discover is at the heart of what we do. CIBL supplies science kits and other hands-on materials for classroom use. We also provide professional development for teachers. CIBL is a small non-profit with a staff that is in downtown Durham. About the Staff Accountant Position
You will also be responsible for all aspects of bookkeeping and accounting, including coordination with CIBL’s external CPA firm. You are someone who understands, appreciates, and thrives as a teammate. You are hard-working and self-motivated and are detailed-oriented and able to meet deadlines.
Position responsibilities
• Manage all aspects of day-to-day bookkeeping and accounting processes including but not limited to: A/P, A/R, payroll, journal entries, and bank reconciliation.
• Ensure compliance with federal, state and local regulations. This includes, but is not limited to, remitting monthly sales tax filings, charitable solicitation license, payroll withholdings.
• Oversee year end close and ensure all accounts are reconciled monthly according to GAAP. This includes cost allocation entries at year end following best practices for allocation methodology.
• Onboard new employees’ paperwork and related compliance as needed.
• Promptly prepare customer Requests for Payment, Quotes and Invoices as requested.
• Closely track Accounts Receivable balances; follow up with customers and collect amounts due as needed.
• Execute all monthly payroll activities using a third-party payroll service provider.
• Collect Form W-9 from all vendors as appropriate prior to issuing any payment to the vendor. Work with external CPA firm to prepare Forms 1099 for all vendors as appropriate each year by the regulatory deadline.
• Prepare financial reports as needed on a modified cash basis, including standard financial reports, budget vs. actual reports and grant-specific financial reports.
• Work with external CPA on year-end close and tax return preparation.
• Support Executive Director in development and analysis of annual organization budget.
• Maintain accounting procedures and policies and systems of internal controls to ensure the integrity of all financial systems.
• Perform non-routine tasks requiring strong judgment and initiative.
Required Qualifications
• Advanced proficiency with QuickBooks Online, including payroll module
• Nonprofit bookkeeping experience
• Knowledgeable in sales tax and payroll withholding compliance and filings.
• Bachelor’s degree equivalent related field with 3-5 years related experience or combination of education and experience.
• Proficiency in Excel.
• Excellent verbal and written communication skills.
• Strong organizational, problem-solving and analytical skills: ability to manage priorities and workflow
• Ability to work effectively with a diversity of individuals at all organizational levels.
• Understanding of and commitment to CIBL’s mission.
Compensation and Hours
This part-time position is expected to be 8-12 hours per week, but more time may be required as CIBL’s needs evolve. Competitive compensation depending on qualifications, retirement match up to 6%, hybrid work schedule available, paid time off is offered.
