Talk to the Right People – the Right Way

Let’s face it – nonprofit communications is a juggling act. One minute, you're updating a funder, the next you’re connecting with program participants or rallying volunteers – sometimes all in the same day.

Strategic communication means speaking to your audience in a way that resonates. Here are some ways to keep your message on point.

Effective communication starts with one basic principle: Know your audience. Not everyone needs the same information, and they certainly don’t want to hear it the same way.

  • Funders and donors want to hear about results. They want to know their support is making a measurable difference. “Our program boosted attendance by 35%.”
  • Program participants need clear, compassionate updates. They want to hear how your work affects their lives and what they can expect next. “We’ve extended hours to fit your schedule”
  • Volunteers thrive on appreciation and clear direction. They don’t just want to help – they want to feel like they matter.

Timing and Channels Matter. Ask your audience how they prefer to hear from you – and listen. A message delivered in the wrong format can easily be overlooked, even if it's important.

Whether you’re writing a grant, making a flyer, or just chatting with a community member, remember: It’s not just what you say. It’s who you’re saying it to and why. Keep it clear, kind, and mission-aligned.
