Job Summary 
We are seeking a detail-oriented and experienced Accounts Payable Specialist to join our finance team. The ideal candidate will be responsible for managing the company's accounts payable processes, ensuring accurate and timely payments, and maintaining compliance with financial policies and regulations. This role offers an opportunity to work with a dynamic team in a professional environment, utilizing advanced accounting software and financial concepts. Candidates with experience in 501(c)3 compliance, ADP, QuickBooks, and other financial systems are highly preferred.

Responsibilities 

  • Process and review invoices for accuracy and completeness
  • Enter data into accounting software such as QuickBooks Advance Online
  • Reconcile accounts payable transactions and resolve discrepancies promptly
  • Prepare journal entries related to accounts payable activities
  • Maintain accurate records of all transactions in accordance with GAAP standards
  • Assist with month-end closing activities including general ledger reconciliation and analysis
  • Support compliance with nonprofit controls and internal audit requirements
  • Collaborate with vendors and internal departments to resolve billing issues
  • Manage vendor setup, updates, and payment processing through systems like ADP, and QuickBooks and Expensify platforms
  • Ensure timely processing of payments via electronic transfers using QuickBooks
  • Assist in preparing reports related to accounts payable metrics and analysis skills development
  • Staff Travel Coordination: Liaise with the travel agent to arrange and oversee employee travel schedules and requirements.
  • Other duties as assigned

Requirements 

  • Proven experience in accounts payable within a nonprofit setting preferred
  • Strong understanding of financial concepts such as debits & credits, double entry bookkeeping, and general ledger accounting
  • Proficiency in accounting software including QuickBooks, and Expensify and ADP  Knowledge of GAAP standards and 501 (c)3 compliance procedures
  • Experience with ADP payroll management systems is advantageous
  • Ability to perform account reconciliation and journal entries accurately
  • Excellent data entry skills with high attention to detail (10 key typing proficiency)
  • Strong analysis skills for financial statement review and problem-solving within accounts payable processes
  • Effective communication skills for collaboration across departments including human resources and Senior Bookkeeper
  • Bachelor’s degree in Accounting, Finance, or related field preferred; relevant work experience may substitute for education requirements 

Physical Demands

  • Communication: Must be able to communicate effectively via phone, email, and in person with employees and vendors.
  • Vision & Hearing: Requires vision and hearing correctable to within normal ranges for standard conversations, document preparation, and detailed inspections.
  • Mobility & Positioning: Must be able to remain in a stationary position for approximately 50% of the workday. The role also requires moving about the office to access files, office equipment, and attend meetings, as well as the ability to position oneself to maintain equipment under desks or tables.
  • Manual Dexterity: Constant use of a computer and other office productivity machinery (e.g., scanners, mobile devices, and copiers) is required.
  • Lifting: No heavy lifting is expected; occasional exertion of 10+ lbs. of force (e.g., carrying binders or laptops) may be required.
