Board Liaison/External Affairs and Operations Coordinator

The Golden LEAF Foundation seeks a resourceful problem-solver who enjoys both strategic work and hands-on logistics to serve as Board Liaison/External Affairs and Operations Coordinator. 

This role provides administrative, facilities, and operational support to ensure the smooth functioning of the Foundation’s office and Retreat Center. This role also supports external and internal engagement activities and serves as a key liaison to the Board of Directors, managing logistics, materials, and communications for Board meetings and related events. This position reports to the Director of Operations and works closely with the Vice President/Chief of Staff.

Primary Functions

Administrative and Operational Support

  • Performs general administrative tasks, e.g. generating, proofing, obtaining signatures for, and preparing and mailing letters and supporting the maintenance of minutes of meetings of the Foundation’s Board of Directors
  • Books travel arrangements (hotel, rental vehicle, etc.) for staff as directed
  • Manages incoming calls and directs general voicemail inquiries to appropriate staff
  • Maintains office supply inventory and keeps common areas stocked and organized

Liaison to the Board of Directors (reports to Vice President/Chief of Staff)

  • Lead efforts to execute in person Board meetings in collaboration with the Vice President/Chief of Staff, A/V Tech Coordinator, and others to ensure success of each meeting.
    • Arranges all vendors including catering and hotels
    • Develops and maintains the handbook for Board Meetings
  • Serve as liaison to the Board of Directors:
    • Manage and track information regarding attendance
    • Develops and disseminates logistical information to Board, staff, and consultants, and speakers
  • Manages Board materials, which includes posting to internal software system for Board and staff

Sample day-to-day activities

No two days look exactly the same for the Board Liaison/External Affairs and Operations Coordinator—but each day plays a key role in keeping the Foundation running smoothly.

During a day in this role, you may perform some combination of the following tasks:

  • Coordinate with a vendor to troubleshoot a building issue (plumbing, lighting, HVAC)
  • Scheduling a routine HVAC inspection
  • Order supplies to keep the office fully stocked
  • Source a location for an off-site Board Meeting located in a rural location
  • Coordinate a cleaning of the Retreat Center for an upcoming staff event
  • Collaborate with the Director of Operations to plan for a project to clean out the supply area
  • Make hotel reservations, including completing credit card authorization forms, for members of the team traveling in the coming weeks
  • Handle calls from prospective grant applicants and guide them through the inquiry process

Minimum Qualifications

  • At least two years of relevant professional experience supporting administrative functions. Internship or fellowship experience may be counted toward this requirement.
  • Demonstrated ability to manage multiple, competing priorities.
  • Strong written and verbal communication skills.
  • Demonstrated proficiency in use of common software programs, including Microsoft Outlook, Word, PowerPoint, and Excel. Golden LEAF uses OneDrive. 

Preferred Qualifications

  • Experience planning and executing events (e.g., Board meetings)
  • Demonstrated experience using project management tools to track and manage tasks (Golden LEAF uses Asana)
  • Experience with managing data or systems (Golden LEAF uses BoardEffect, a Diligent platform for Board materials)

Location and Work Schedule

This position will be based at the Golden LEAF office at 301 N. Winstead Avenue in Rocky Mount, NC. This position is expected to work from the office five days per week. Some travel, including overnight travel, within North Carolina is expected (approximately 3 times per year for board meetings).

Salary and Benefits

The Board Liaison/External Affairs and Operations Coordinator is a full-time (35-40 hours per week), non-exempt position with compensation and benefits commensurate with responsibilities and experience. This position has an anticipated hiring range of $23 – $28, depending on qualifications and experience.
